This Privacy Policy explains how Levias Mobile Notary Service ("we," "us," "our") collects, uses and protects your information when you visit leviasmobilenotary.com, contact us, book an appointment or use our notary services, online or in person.

1. Information we collect

·         Information you give us: name, phone number, email, appointment address, preferred date and time, service needed, document type, and any files or notes you send through our forms.

·         Information required for notarizations: to perform a notarization, Washington law requires us to record certain details in our notary journal. These include the date and time, type of notarial act and document, each signer's full name and address, how identity was verified, and, for in-person acts, the signer's signature. We view your government ID to confirm identity.

·         Remote notarization recordings: for remote online notarizations, an audio and video recording of the session is created, as required by Washington law.

·         Payment information: payments are handled by our payment processor. We don't store full card numbers.

·         Website and device information: like most websites, our site and its service providers may automatically collect your IP address, browser type, device information, pages visited and referring pages, using cookies and similar tools.

·         perform notarial acts and keep the records Washington law requires

·         process payments and send receipts

·         send text messages and emails you've agreed to receive

·         provide customer support and request feedback or reviews about our service

·         improve our Website and services, and measure how visitors find and use our site

3. Text messaging (SMS) privacy

·         We send text messages only to people who have opted in.

·         Message frequency varies, and message and data rates may apply.

·         Reply STOP to opt out at any time, or HELP for help. You can also call us at 206-207-4551.

·         No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

·         We may share phone numbers only with the service providers that deliver our messages on our behalf (for example, our messaging and CRM platform). They are not allowed to use it for their own marketing.

4. How we share information

We do not sell your personal information. We share it only:

·         With service providers who help us run our business, such as our CRM, scheduling and messaging platform, remote notarization platform, payment processor, email provider and website host. They may use it only to provide services to us.

·         With parties involved in your transaction, when you request it or it's part of the service. For example: a title or escrow company, lender, signing service, or a government office handling an apostille.

·         When required by law, such as in response to a subpoena, court order, or a lawful request from the Washington State Department of Licensing, or to protect our rights, your safety or the safety of others.

5. Notary journal and recording retention

Washington law requires us to keep our notary journal for ten years after the last notarial act recorded in it, and to keep remote notarization recordings for at least ten years. The journal is kept in a locked, secure location under our control. Recordings are stored with password protection or other secure authentication. Because these records are legally required, we can't delete them on request during the retention period. Copies of journal entries are provided only as allowed by law.

6. Cookies, analytics and advertising

Our Website may use cookies and similar technologies, including tools such as Google Analytics and the Meta Pixel. We use them to understand how visitors use our site, measure our advertising and improve our services. You can block or delete cookies in your browser settings. You can opt out of Google Analytics at tools.google.com/dlpage/gaoptout and adjust ad preferences in your Google and Meta account settings. Some features of the Website may not work properly without cookies.

7. How we protect your information

We use reasonable administrative, technical and physical safeguards to protect your information. These include secure, access-controlled software and locked storage for paper records. No method of transmission or storage is 100% secure, so we can't guarantee absolute security. Please don't email or text sensitive ID images or financial account numbers unless we've asked for them through a secure method.

8. How long we keep information

We keep contact and appointment information as long as needed to provide our services, maintain business and tax records, and meet legal obligations. Notary journals and remote notarization recordings are kept for the periods described in Section 5.
